A simple change - why keeping documents next to your records matters

One of the most annoying parts of keeping records as a driver isn’t even the numbers.

It’s everything around them.

Receipts, invoices, random confirmations, licence docs, bank stuff - all these small things that seem irrelevant when they show up, and then suddenly matter at the worst possible moment.

Most drivers don’t lose these in one go. It’s not like something disappears.

It’s more that everything ends up… somewhere else.

A receipt stays in the car. An invoice sits in email. A statement is in another app. You technically have everything - just not in a way that’s usable.

And that’s where it starts breaking.

Because your numbers might be fine. You might even know roughly what you spent. But the moment you need to actually check something - what that £60 was, what that payment relates to - you’re digging through five different places.

Not because you don’t have the data.
Because it was never connected.

That’s the whole point of the Documents feature.

It follows the same idea as A quieter change - what the new version of TaxiManager actually fixes: less piecing things together at the end.

We didn’t try to invent anything new here. We just fixed that disconnect.

Instead of treating documents as something separate, you attach them directly to what they belong to. Fuel receipt goes with the fuel entry. Invoice goes with the expense. No extra thinking, no “I’ll organise it later”.

You just put it where it makes sense, once.

That’s it.

And that small change does more than it looks like.

Because once the document is attached at the moment you add the entry, it stops being something you need to manage later. You don’t have to remember it. You don’t have to look for it. It’s already where it should be.

If you’ve ever tried to go back through a month and match expenses to receipts, you know how painful that gets. Not because it’s hard - just because everything is slightly out of place.

A bit in your inbox. A bit in the car. A bit missing.

And then you spend an hour just trying to connect things.

This removes that completely.

You add it once, and it stays there.

Same thing with documents that don’t belong to a single expense. Licence, insurance, bank statements - those always float around. They don’t fit neatly into one entry, but they still need to exist somewhere that makes sense.

Now they just sit inside the same system.

You can tag them, keep them grouped - income, expenses, vehicle, whatever - without overthinking it. No folders, no second system, no “where did I put that”.

It’s just there.

And that’s really the pattern behind this update.

Not adding complexity.
Removing the need to fix things later.

Because that’s where most of the friction actually is. Not in entering data - but in trying to reconstruct it when you need it. Under Making Tax Digital for drivers, “I know roughly what I spent” is not the same as being able to show what that £60 was.

Now you don’t.

You just have it.
