TaxiManager
Feature inventory
Overview of what TaxiManager v2 covers for UK taxi and private hire drivers: day-to-day logging, tax estimates, HMRC-relevant outputs, vehicles and mileage, and tax-year boundaries — grouped by area of the app. Written as a factual inventory (2025/26 snapshot), aligned with the live product. For current plan names and fees, see Pricing on the homepage.
1. Daily Input (Today)
- Daily record entry — One place to capture takings, mileage and tips for the shift you're in — so nothing is lost before you forget.
- Animated amount input — Large GBP keypad for fast cash entry at the kerb or in a break.
- Add Income sheet — Income split the way drivers earn: cash, card, app payouts, tips.
- Add Expense sheet — Spend logged against HMRC-style categories so your year-end picture stays honest.
- Revolver category selector — Scroll every allowable expense category in one motion — less hunting, fewer wrong buckets.
- After your first save — Short guided moment that takes you to the right plan — 14-day trial, PRO or PRO+ — once you've actually used the diary.
2. Timeline & Day View
- Timeline list — Every income, expense and mileage line in date order — your proof trail for the year.
- Week selector — Jump between weeks inside the tax year you're working in.
- Day detail view — See one day at a time: totals, every line, edit or delete if you made a mistake.
- Entry editing — Fix a past entry from the timeline or day view without starting again.
3. Tax Three-level hierarchy
Level 1 — Overview
- Tax overview dashboard — Estimated bill, how far through the year you are, and clear status so you know if you're on track.
- Rolling tax estimate — The liability estimate moves as you log income and expenses — fewer January surprises.
Level 2 — Details
- Profit & Loss statement — Year-to-date P&L in HMRC-relevant categories — the backbone of your return.
- Tax computation — Walk from profit through allowances to what you owe — transparent, line by line.
- Capital allowances — Vehicle writing-down allowance with plain-English states (not set up / in use / done / not applicable).
- Additional return information — Room for other income and adjustments your Self Assessment actually asks for.
Level 3 — Advanced
- Finalize tax year — Lock a year when the numbers are agreed and produce what you or your agent need for HMRC.
- Year finalization state — Once a year is finalized for filing, figures stay read-only so nothing drifts afterwards.
4. Tax Year Management
- Tax year switching — You work in one tax year at a time — not a filter — so 6 April boundaries stay clean.
- Tax year warning banner — Obvious flag when you're viewing a past or future year so you don't post today's shift to the wrong season.
- Tax year change confirmation — Explicit step before the app flips context — harder to mix years by accident.
- Tax year licence tiers — Standard, Professional and Pro+ — you choose the level for each tax year you activate, and only pay for years you use. Current fees are on the main site pricing.
- Licence activation flow — Guided path to turn on a year you've bought so you can start logging straight away.
- Dashboard licence lock — You see which years are paid for before you enter data — no silent wrong year.
- Tax year lifecycle tracking — Milestones such as activated, finalized and submitted — with clear "not yet" where something still applies.
5. Vehicles & Mileage
- Vehicle list — Every vehicle you run with allowance status visible at a glance.
- Vehicle specifications — V5C-style detail — fuel, emissions, written-down value — feeding correct capital allowance treatment.
- Mileage tracking — Per-shift mileage feeding both expenses and capital allowances where it matters.
- Car loan tracking — Finance, HP or lease interest captured where HMRC allows a deduction.
- Private use adjustments — Fine-grained private-use % for car and phone so business vs personal stays defensible.
6. Settings & Profile
- Personal details — Name, NI number, UTR and contact — what HMRC and your agent expect on file.
- Address details — Residential and trading address for the return record.
- Taxation details — HMRC profile, basis of accounting and registration — aligned to how you report.
- Universal Credit settings — Declare and adjust UC-related figures so benefits conversations match your books.
- Accountant settings — Who acts for you — so PRO+ filing and correspondence land with the right person.
- Badge & document uploads — Optional licence or council badge image for your own records or operator checks, plus a documents inventory for scans and files you need at filing time — invoices and receipts, vehicle paperwork, and employment or pension forms such as P45 and P60 — so evidence sits next to the figures.
- Advanced settings — Deeper options kept out of the main path until you need them.
- Category ordering — Reorder expense categories to match how you actually spend.
- Two-factor authentication — Extra sign-in step to protect your financial data.
- Change password — Self-service password update with validation.
7. Invoices & Billing
- Invoice list — Every licence and PRO invoice in one clear list — your paper trail for the business.
- Invoice detail document — Line-by-line plan and 20% VAT where applicable — what you paid, not card numbers.
- Annual licence billing model — One charge per tax year you use — no surprise monthly subscriptions.
8. Account & getting started
- Secure access — Sign in, create an account or reset a forgotten password — your books stay behind a proper login.
- Terms before you join — You acknowledge TaxiManager's terms once at registration — you know the rules up front.
- Short guided start — A compact intro so you land in the right place to log today's shift.
- Plan choice when you're ready — Pick 14-day trial, PRO or PRO+ after you've seen how logging works — pricing follows real use.
9. Compliance & HMRC
- HMRC-ready figures end to end — From each shift through P&L and tax computation, numbers stay in categories and logic HMRC recognises on Self Assessment.
- HMRC submission path (with your agent) — Year-end outputs support your accountant or TaxiManager PRO+ filing — same figures you reviewed in the app, not a second spreadsheet.
- MTD ITSA awareness — In-app prompts and badges for Making Tax Digital quarterly reporting — so you know what's coming before deadlines bite.
- Quarterly summary finalisation — In-product steps to review and apply each quarter-end summary before submission — so your logged amounts, uploads and MTD position stay aligned when you sign off the period.
- HMRC-aligned expense categories — Every category ties back to a Self Assessment line — less translation error at filing.
- Tax year guards — Hard stops that make posting into the wrong tax year difficult — protecting your return integrity.
10. Support, guides & legal
- Help Centre — UK driver FAQs on registration, allowances, mileage and MTD — written for cab and PHV work.
- Guides — Longer explainers on taximanager.co.uk for topics like MTD, expenses and self-employment — linked from the site and updated as rules change.
- Blog — News and HMRC-facing updates on taximanager.co.uk — what's changing for drivers and when.
- Privacy Policy — Plain layout explaining what we hold about your driving and finances.
11. Clarity & how you access the product
- Web app (today) — TaxiManager v2 runs in the browser — a responsive web application you use on phone, tablet or desktop without an app-store install.
- Native mobile apps (roadmap) — Dedicated iOS and Android apps are in development; we're targeting release in Q3 2026.
- Telegram — Log income, expenses or mileage from Telegram when you're away from the browser; entries sync into the same tax year as the web app.
