personal information when you use our website and services. By accessing or using our site, you
agree to this Privacy Policy. If you do not agree, you may not use our services.

This Privacy Policy applies to the website https://taximanager.co.uk and all subdomains of
taximanager.co.uk (the "Websites") and to the TaxiManager web application (the
"Services").
"Applicable laws" refers to all the laws and regulations that relate to the collection,
processing, and storage of data, particularly laws and regulations that protect personal data,
including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act
2018.
"TaxiManager" or "we" or "us" or "our" means PBT Tax
Solutions, a business providing the TaxiManager service, with its registered office at 3

"Personal Information", "Information", or "Data" refers to any
information that can be used to identify a specific individual, as defined by applicable data

"You" means an individual that uses our Services via the Websites or an individual who
uses the Websites but has no access to secured areas of the Websites and Services.

3. What information we collect

hashed form), phone number and any other details you provide when you create an account.
- Business and accounting data — information you enter into the TaxiManager
web application, such as income, expenses, mileage, vehicle details, notes and any
supporting information relating to your self-employed taxi or private hire business.
- Tax and identification information — where you use our Pro or Pro+ plans,
we collect the information needed to register you with HMRC and to prepare and submit your
Self Assessment and Making Tax Digital (MTD) returns (for example UTR, National Insurance
number, date of birth and address).
- Payment information — payments are processed by Stripe. We do not store
your card details. We receive limited information from Stripe, such as confirmation of
payment, the last four digits of the card and the cardholder name.
- Communication data — records of your correspondence with us by email,
phone or contact forms.
- Technical data — IP address, browser type and version, device
information, time zone, operating system, and information about your visits to our
Websites (such as pages viewed and traffic sources).

4. How we use your information
We use your personal information for the following purposes:
- To provide and operate the TaxiManager Services (recording income, expenses and profit,
generating reports).
- To prepare and, where applicable, submit quarterly MTD updates, final declarations and
Self Assessment returns to HMRC on your behalf (Pro and Pro+ plans).
- To manage your account and provide customer support.
- To process payments and manage subscriptions.
- To keep our Services secure, prevent fraud and investigate misuse.
- To comply with our legal and regulatory obligations (including record-keeping obligations
imposed by HMRC).
- To improve our Websites and Services, including analysing how they are used.
- To send you service communications (for example, notices about changes to the Services or
to this Privacy Policy).
5. Legal basis for processing
Under the UK GDPR, we rely on the following lawful bases when processing your personal
information:
- Performance of a contract — where processing is necessary to provide the
Services you have signed up for.

- IT and hosting providers — trusted third parties who provide the
infrastructure, backups and email services we use to run the Services.

- Authorities — where we are required to share information by law, court
order or regulatory request.

Your information is primarily stored and processed in the United Kingdom and the European
Economic Area. Where any of our service providers transfer data outside of the UK/EEA, we take

- Account and accounting records are retained for the duration of your subscription and for
at least 6 years after the end of the tax year to which they relate, in line with HMRC

- Payment and billing records are kept for as long as required by accounting and tax laws.
- Support and communication records are kept for as long as needed to handle your query and
for reasonable business and legal purposes afterwards.
Once we no longer need your information, we will securely delete or anonymise it.

- Twice-daily backups of your data.
